BSP Annual Conference 2020 Online – submit the recording of your paper

Speakers’ presentation recordings need to be with us by the submission deadline of Sunday 2 August 2020. The conference team will then view the videos to ensure they meet the acceptance criteria, and we will confirm acceptance on Friday 7 August 2020.

Introduction
Thank you for participating in our conference. As you know, we are asking you to submit your paper as an audio or video recording. On this page, you’ll find out how to submit your recording in order to present your research to the conference and allow us to ensure the recording has the right quality to give your audience a good experience. We’ve also got some guidance on how to meet the required quality.

> Video files should be in a standard format such as: MP4, MOV, WMV, AVI, and FLV.
> Audio files should be MP3 or M4A

Uploading and Sharing Your Recording
Whether you have opted for video or audio, your file will be too large to share via email. As such, we need you to upload the file to one of the many free cloud storage solutions available today. You can use whichever service you prefer, but you must make sure that the link you have provided allows anyone to download it. You should send the link to a friend or colleague to test this before you submit.

One important thing to bear in mind is file size. If you already have a free cloud service, you probably have one or two gigabtytes (GB) storage space, which, depending on how much space you have left will be plenty of room. If you have a paid subscription or you have a cloud service delivered through your work or university, such as OneDrive for Business, you will have much more space available.

If you do not already have a cloud service, then we recommend using Dropbox. If your file is less than 100 megabytes (MB), the simplest thing to do would be to use the Dropbox Transfer service. If your file is larger than that, you will need to create a free account with them, and as the 2GB storage will be empty, you will have lots of space to upload your file. Please note:
> Some file sharing services allow you to set an expiry date for your video. It can take us up to a week to look at your submission, so please make sure that you do not set the expiry date too soon.
> Some company-based services automatically set a link to be available only within your organisation. You need to make sure that the link you’ve created works for anyone who has the link.

How to Submit your recording to us
This is the largest conference we have ever run and we’re excited about how many of you will be participating. Because of the large number, we need you to fill out a short form to help us organise and administrate the recordings. The form will ask you some quick basic questions to help us identify you and your paper.

Sole Presenters, Panel Submissions, and Co-Presented Papers
The form will also ask questions about if you submitted your paper as a sole presenter on its own, or whether you submitted as part of a multi-paper panel, or whether you have co-presenters. If this doesn’t apply to you, you can skip ahead to “Submit Your Recording Now!”.

Multi-paper Panel Submissions
Each paper needs to be submitted separately by the authors as a separate file. This allows us to contact the individual presenters directly if there are issues with their recording.

Co-presented Papers
One presenter should submit the form on behalf of all speakers. You must submit the file as one recording. This means you will need to edit the recording together if you’ve got separate recordings to start with. We’re not able to offer support on video editing, but on YouTube and the internet as a whole, there are loads of great resources by experts on how to edit a video simply and for free. If you’re really stuck, you could use this guide as a starting point.

Once you have your file uploaded and you’re ready to submit it, please complete the submission form. There is no auto-response email, rather, one of the conference team will check the file and confirm receipt within a few days.
